What every call sheet template needs
A call sheet exists for one reason: answer every question a crew member might have at 5am so nobody texts the 1st AD. Skipping any of the fields below creates that texting.
- Production header — Project title, production company, date of shoot, day number (Day 3 of 12), and unit info. What's shooting, when, in one line at the top.
- Call times by role — Each department's call time — usually crew first, cast later. Leads often get a later call than background. Specifics matter, not a general 'call is 7am.'
- Location details — Full address, parking, holding area, crew lunch location, and nearest hospital. Many productions also include weather forecast for the day.
- Scene schedule + shot list — Which scenes shoot today, in what order, with per-scene pages or shot counts. Links to the full shot list for reference.
- Cast and crew roster — Everyone on set that day by name and role. Numbers matter for catering and transport.
- Emergency info — UPM, producer, 1st AD cell. Nearest hospital. Production office number. Who to call if something goes wrong.

How a call sheet fits into the production workflow
Call sheets are the last pre-pro document and the first on-set document. Everything upstream feeds it; everything on the day reads from it.
- Script → shot list → schedule → call sheet — The shoot schedule determines which scenes shoot which day. The call sheet is that schedule distributed to humans. Auto-populating from shot list cuts hours of retyping.
- Distributed 12-24 hours before shoot — Call sheets ship the night before (EOD email) or morning-of (6am latest). Crew plan their commute and prep based on it.
